AEGIS


The Adult Education Guidance Information System (AEGIS) has been developed to assist adult education programs across the state in improving the program quality. AEGIS gives the needed tools to Grant Services Managers at Texas LEARNS to manage and monitor the program status at any given point of time, and provides a mechanism to assist programs. AEGIS extracts program’s goals, objectives, staffing, and financial information from the e-Grant system.

Throughout the year, as programs report data into Texas Educating Adults Management System (TEAMS), Texas Even Start Program Information Reporting System (TESPIRS), and provide electronic Expenditure Reports, AEGIS provides a source of record of all documents, activity and workflow performed by each grant program or contract. Quarterly, AEGIS will electronically notify programs of compliance issues. It then captures program support activity and correspondence between the Fiscal Agents and Grant Service Managers. This system improves the timeliness, accuracy and volume of data reported by Fiscal Agents.

AEGIS Overview

  • TEA’s Discretionary Grants Administration Division administers
  • Standards for performance and evaluation are established in the contract between TEA and Fiscal Agents.
  • Performance monitoring evaluates program quality against those standards and identifies areas needing improvement.
  • The Adult Education Guidance Information System (AEGIS) was developed to help Grant Services Managers to monitor and assist the programs.

Key Objectives

AEGIS was developed in order to:

  1. Support a more structured and standardized Program Monitoring workflow
  2. Capture program support activity and correspondence between Fiscal Agent and Grant Services Manager
  3. Provide a “Source of Record” for documents, activity and workflow performed for each Grant Program or contract
  4. Assist in identifying training needs
  5. Improve the timeliness, accuracy and volume of data reported by Fiscal Agents
  6. Increase awareness of Program, Program Monitoring Workflow, and Division Support Trends

The Appendices provide a pyramidal chart showing the different components of AEGIS that contribute to the flow of program information.
